This role aims to provide high-level administrative and operational support to the Co-Curricular Department in the planning, organisation, and delivery of the school’s co-curricular and trips programme. This role ensures the effective coordination of CCAs, school trips, and external provider engagement, while serving as the primary liaison with parents, staff, and third-party partners. The post holder plays a vital role in maintaining data accuracy, safeguarding compliance, and delivering high-quality communication across all related activities.
Key Responsibilities
- Collaborate with the Director of Co-Curricular to plan and publish the annual CCA calendar.
- Take full ownership of the SOCS platform—ensuring all CCAs, fixtures, trips, and parent communications are accurately managed.
- Act as the primary point of contact for parents regarding all CCA and trip-related queries, complaints, and announcements (via phone, email, and in-person).
- Ensure attendance is recorded daily by CCA staff and teachers.
- Maintain accurate and up-to-date student registers for all activities, ensuring alignment with academic staff and transport providers.
- Coordinate all administrative tasks relating to CCAs, including staff support, registers, and internal communications.
- Train new staff on SOCS and ensure system access is in place.
- Work with external providers to ensure all safeguarding and health & safety protocols are met, including statutory declarations, contracts, and documentation.
- Liaise with parents on trip and CCA payments, track payment status, and follow up on outstanding fees—ensuring all financial data is accurate and up to date in Oracle.
- Support Trip Leads in all parent communications and data collection for school trips.
- Coordinate ADEK approvals, risk assessments, and the Assure platform submission process in collaboration with Trip Leads and the Director of Co-Curricular.
- Escalate parent feedback or complaints to management as required.
- Work closely with the school’s transport provider to ensure registers for off-site CCAs and trips are accurate.
- Provide reports and analysis on CCA participation and trips to inform future planning.
- Identify and implement improvements to the SOCS platform to support evolving school needs.
- Support the organisation of internal and external meetings and events as required.
- Book venues and resources to support scheduled events and activities.
Minimum Qualifications:
- Bachelor's Degree in any discipline
Experience:
- Minimum 2 years of experience in a school or admin environment
- Proven administrative and coordination experience
- Familiarity with SOCS or similar platforms preferred
Skills & Attributes
- Fluent in English; Arabic language skills an advantage
- Excellent organisation and time management skills
- High attention to detail and data accuracy
- Confident communicator with strong interpersonal skills
- Proactive problem-solver with the ability to manage multiple tasks under pressure
- Strong IT proficiency, particularly with Microsoft Office
