Description:
We are looking for a Facilities Supervisor to oversee the day-to-day operations of all leased properties managed by the company. This includes ensuring the smooth running of maintenance activities, handling tenant requests, managing facility staff, ensuring compliance with health and safety regulations, and optimizing the operational efficiency of all properties.
Job Tasks and Responsibilities:
- Oversee the maintenance and operation of leased properties, ensuring they are well-maintained, safe, and functional.
- Ensure that all buildings and facilities are in compliance with local health, safety, and environmental regulations.
- Monitor and manage daily facility operations, including common areas, utilities, equipment, and other essential services.
- Schedule, supervise, and inspect the preventive and corrective maintenance activities for all facilities, including mechanical, electrical, and plumbing systems.
- Respond promptly to tenant requests for maintenance or repairs and follow up to ensure the completion of work to satisfaction.
- Maintain accurate records of all maintenance and repairs, including service contracts, inspections, and work orders.
- Coordinate and supervise external vendors and contractors for maintenance, cleaning, security, landscaping, and other services as required.
- Ensure that all vendors comply with company policies, safety standards, and contractual agreements.
- Obtain and evaluate quotes for facility-related services and negotiate contracts with vendors to achieve cost-effective solutions.
- Ensure the implementation of health and safety measures across all facilities in accordance with legal requirements and best practices.
- Conduct regular safety inspections and audits to identify risks, hazards, and non-compliance, and take corrective actions.
- Develop and implement emergency preparedness plans and procedures, including fire drills, first aid training, and evacuation plans.
- Serve as the primary point of contact for tenants regarding facility-related issues or concerns.
- Address and resolve tenant complaints and requests in a timely and professional manner.
- Maintain good working relationships with tenants to ensure satisfaction and retention.
- Prepare and manage the facility operations budget, ensuring efficient use of resources and staying within financial constraints.
- Track and report on facility expenditures, including utilities, maintenance costs, and vendor payments.
- Identify and implement cost-saving initiatives without compromising the quality or safety of the facilities.
- Maintain accurate records of facility activities, including maintenance logs, service contracts, inspections, and incident reports.
- Prepare and submit regular reports to management regarding facility status, performance, maintenance issues, and budgets.
- Ensure compliance with all legal and regulatory requirements regarding facility operations and management.
- Supervise and lead a team of facility staff, including maintenance workers, cleaners, security, and other on-site personnel.
- Provide training and development opportunities to ensure staff are competent, well-trained, and aligned with company standards.
- Monitor staff performance and conduct regular evaluations, providing feedback and addressing performance issues when necessary.
_ Job Requirements:_
- Bachelor’s degree in Facility Management, Engineering, Business Administration, or a related field.
- Minimum of 5 years of experience in facilities management in UAE, with a focus on leasing or real estate properties.
- Knowledge of building systems, maintenance practices, and safety standards.
- Experience in managing external vendors and contractors.
- Strong organizational, problem-solving, and multitasking abilities.
- Excellent communication, negotiation, and interpersonal skills.
- Proficient in the use of facility management software, Microsoft Office Suite, and other relevant tools.
- Ability to manage budgets and control costs effectively.
- Strong leadership and team management skills.
