Responsibilities
General Administration (All Group Companies)
o Provide centralised administrative support across all group entities.
o Maintain organised filing systems (digital and physical) for contracts, HR documents, operational policies, real estate records, and other required documentation.
o Manage shared calendars, schedule meetings, prepare agendas, and take minutes as required.
o Handle incoming communications and direct appropriately.
o Liaise with government departments and external service providers relevant to property administration.
Operations
o Assist with vendor and supplier management, procurement, and inventory tracking across companies.
o Ensure consistent office and facility administration (where applicable), including stationery, utilities, and workspace coordination.
o Support compliance with health and safety, insurance, real estate, and data protection regulations across all entities.
o Coordinate administrative requirements related to property registrations, title deeds, unit handovers, and land documentation with DLD and RERA.
Real Estate Administration (UAE-Specific)
o Manage Ejari registration and renewal processes for all leased properties under the group.
o Liaise with DLD and RERA to ensure timely updates and compliance with real estate regulations.
o Maintain up-to-date property records, tenancy contracts, title deeds, and ownership documents.
o Support property transactions by assisting with due diligence, documentation, and regulatory filings.
HR Support
o Maintain personnel records and assist with payroll coordination and timesheet processing.
o Act as a point of contact for employee administrative inquiries, including those related to accommodation, company housing, or tenancy matters.
Finance & Invoicing Administration
o Assist with invoice tracking, purchase orders, expenses, and petty cash management across group companies.
o Liaise with finance teams and external accountants for reporting, reconciliations, and documentation gathering.
o Support budget tracking and financial administration tasks as required.
o Ensure real estate payments (rent, service charges, DLD fees) are documented and processed accurately.
Project & Event Coordination
o Provide administrative assistance on cross-company projects and initiatives.
o Organise internal and/or external events and stakeholder meetings, including real estate-related events or inspections.
o Support senior leadership with presentation preparation, research, and reporting.
Systems & Process Improvement
o Help implement and maintain standardised administrative systems and workflows across group entities.
o Identify opportunities for improving administrative efficiency and recommend solutions.
o Manage group-wide tools and platforms (e.g., document management, CRM, collaboration tools.

Pay: AED4,000.00 per month
