MAIN OBJECTIVE OF ROLE:
To provide comprehensive administrative, operational, and financial support to the Multi-Crew Pilot Licence (MPL) program by coordinating student scheduling, managing training logistics, and overseeing program budgets, payments, and vendor coordination, ensures smooth day-to-day program management, compliance with regulatory and internal standards, and supports long-term planning and program efficiency through analytics, performance tracking, and informed decision-making.
KEY RESPONSIBILITIES:
- Coordinates the onboarding process for MPL cadets, ensuring timely completion of documentation, induction, and access to systems/tools.
- Maintains and updates training records, reports, and student databases in compliance with regulatory and internal standards.
- Assists in the development and maintenance of training plans, cadet roadmaps, and weekly/monthly schedules.
- Liaises with internal departments (HR, Finance, Operations) to ensure cadets’ needs are met during each training phase.
- Monitors student attendance, leave, performance records, and escalates any issues proactively to management.
- Provides administrative support for internal meetings, audits, and reviews related to the MPL program.
- Facilitates communications between cadets, training teams, core flying schools, and relevant departments to maintain alignment and program transparency.
- Coordinates MPL program deliverables by aligning key activities, timelines, and outputs across internal teams and external partners to ensure successful delivery of each phase in accordance with approved plans.
- Monitors program costs, prepare financial forecasts, and support budgeting activities related to the MPL program..
- Monitors invoicing, reconcile payment schedules, and maintains financial records for internal and external reporting.
- Serves as the financial primary point of contact for external training providers and partner flight schools.
- Supports the development and maintenance of contracts and service level agreements with external vendors.
- Analyzes cost-benefit scenarios and propose improvements to optimize program efficiency and cost control.
- Compiles financial and progress reports for internal stakeholders and support audits and performance reviews.
- Initiates and tracks financial requests related to the MPL program, including payment submissions, purchase orders, and budget approvals, coordinating with relevant departments to ensure timely processing and completion.
- Bachelor's Degree (3+ years)
- Bachelor's degree in Finance, Accounting, Business Administration, Aviation Management, or a related field
- Fluent in English
- Minimum 3 years of experience in financial administration, contract management, administrative or training support, preferably within aviation or education sectors. Experience in vendor or partner relationship management, flight training scheduling, and student affairs is highly desirable
- Experience with financial reporting, data visualization, data analysis, or training performance metrics is an advantage

Reads and complies with the ISR policies of the Company and diligently reports any weakness or incidents to the respective Line Manager or the Information Security team. Completes all required ISR awareness sessions and follows associated guidelines in the day-to-day business operations.
