The Procurement Executive is responsible for sourcing, negotiating, and purchasing materials, equipment, and services required for the company’s operations. The role ensures cost-effectiveness, timely delivery, and quality compliance, while maintaining strong supplier relationships and supporting project/site requirements.
Key Responsibilities: Procurement Operations
- Receive and review material requisitions (MRs) from departments/sites and clarify specifications.
- Source qualified suppliers locally and internationally based on project needs and budgets.
- Obtain competitive quotations, negotiate terms, and prepare comparative statements.
- Issue Purchase Orders (POs) and ensure timely approvals as per company policy.
- Follow up on delivery schedules and ensure timely procurement to avoid site delays.
Cost & Contract Management
- Negotiate pricing, payment terms, and delivery timelines with suppliers.
- Analyze cost trends and suggest cost-saving initiatives.
- Assist in drafting supplier agreements and ensure compliance with terms and conditions.
Documentation & Records
- Maintain accurate procurement records including RFQs, quotations, PO logs, and supplier documents.
- Coordinate with the accounts team for invoice processing and payment follow-ups.
- Ensure compliance with procurement policies and audit requirements.
Vendor Management
- Develop and maintain strong vendor relationships to ensure consistent supply.
- Evaluate vendor performance based on quality, delivery, pricing, and responsiveness.
- Identify and qualify alternative suppliers for critical items to mitigate risks.
Project Coordination
- Liaise with project managers, site engineers, and storekeepers to understand material requirements and priorities.
- Coordinate with logistics for transportation, customs clearance (if required), and site delivery.
- Provide regular updates to project teams on procurement status.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Supply Chain Management, Engineering, or related field.
- 3–5 years of experience in procurement (preferably in construction or technical industries).
- Strong negotiation and communication skills.
- Knowledge of local and international market vendors and pricing.
- Familiar with procurement software (e.g., ERP, SAP, Oracle) and MS Office Suite.
- Understanding of import/export regulations and incoterms (if applicable).
- Detail-oriented, well-organized, and able to multitask under pressure.
Preferred Skills:
- UAE driving license
- Knowledge of civil/mechanical/electrical materials
- Familiarity with FIDIC or contract procurement frameworks
