KEY ACCOUNTABILITIES

Payroll, Leave Request and Travelv

  • Receive and process staff expense claims relevant to HR
  • Respond to queries regarding employee pay
  • Manage and process monthly expat payroll for selected offshore services business unit
  • Receive and process leave and annual ticket requests and ensure appropriate absence forms, medical certificates have been submitted.

HR Support

  • Assist with onboarding arrangements for new employees and exit arrangements employees leaving
  • Work closely with PRO regarding visa applications, labour cards and I.D’s
  • Ensures timely renewals of life and medial insurance for offshore services
  • Work with IT team for resolution of new joiner access issues

Reception

  • Answer all incoming calls to the switchboard in a professional manner and in line with Company policy. Vet and transfer calls as appropriate
  • Acknowledge visitors in a courteous manner and advise appropriate employees that their visitors arrived Ensure all visitors sign in and out of the visitors log book
  • Arrange and follow up on applications of access cards and parking access.
  • Assist in the planning and preparation of meetings and company events, conferences telephone calls for HR.

Travel and Expenses Claims

  • Receive and process staff annual leave ticket requests
  • Arrange flights, visas, accommodation and transport arrangements Receive and process staff expense claims for assigned staff

Other Functions

  • Understand internal organization structure, fleet operations and priorities
  • Ensure personal development through training and self-development

QUALIFICATIONS AND EXPERIENCE

Minimum Qualifications:

  • Higher Education or College graduate preferred.

Job-Specific Skills:

  • 3 + year experience in a similar role
  • Computer proficiency with Microsoft Office
  • Offshore insurance services knowledge is a must
  • Good command of English verbally, reading and writing Attention to detail and accuracy with all tasks
  • Able to work independently as well as within a team
  • Demonstrate ability to solve problems while exhibiting sound judgment
  • Comfortable with change & ability to adapt quickly
  • Ability to manage a fast-paced and sometimes unpredictable workload
  • Polished and professional presentation and communication style
  • Attention to detail, accuracy and organization skills are of key importance for this role
