Job Summary:
We are looking for a motivated and detail-oriented Client Onboarding Specialist to ensure a seamless onboarding experience for new clients in the real estate sector. This role is key to helping clients—whether investors, buyers, tenants, or property owners—successfully navigate our services from the moment they sign on. You'll serve as the bridge between the sales and operations teams, ensuring smooth documentation, account setup, and service alignment.
Key Responsibilities:
- Serve as the first point of contact for new clients after deal closure
- Manage and guide clients through onboarding steps such as KYC documentation, account creation, listing or property profile setup, and service orientation
- Clearly communicate timelines, processes, and expectations to clients
- Coordinate with internal teams including sales, legal, property management, and customer support to ensure client requirements are met
- Schedule and lead onboarding calls or site visits (where applicable)
- Ensure all client data is accurately captured and updated in CRM and internal systems
- Train clients on using internal platforms (e.g., property portals, investment dashboards, or lease management tools)
- Handle client queries or issues during the onboarding phase with a focus on providing excellent service
- Gather feedback and continuously improve onboarding materials, checklists, and procedures
- Ensure a smooth handover from onboarding to account management or client servicing teams
Requirements:
- 1–3 years of experience in client onboarding, account management, customer success, or real estate operations
- Excellent communication and interpersonal skills
- Strong organizational skills with the ability to manage multiple clients at once
- Familiarity with real estate processes, leasing documentation, or client agreements is a plus
- Comfortable using CRMs, Google Workspace/Microsoft Office, and other workflow tools
- A customer-first mindset with strong problem-solving abilities
- Bachelor’s degree in Business, Real Estate, Communications, or a related field
Preferred Qualifications:
- Experience in the customer service
- Knowledge of property listing platforms, CRM tools (e.g., Salesforce, Zoho), or client portals
- Multilingual ability (if working with regional or international clients)
