JOB PURPOSE:
The Concierge (Receptionist Assistant) is responsible for supporting day-to-day fleet management operations, front desk support, and vehicle logistics. Reporting to the Receptionist Supervisor, the role ensures efficient vehicle handling, guest support, and coordination of internal and external service needs. The position also contributes to the smooth operation of training and event setups, while upholding a welcoming and professional environment for staff and visitors.
KEY ACCOUNTABILITIES:
Fleet Management:
- Coordinate the day-to-day operations of the fleet, including vehicle scheduling, maintenance, repairs, washing & refueling.
- Monitor vehicle usage and ensure compliance with company policies and regulations.
- Manage vehicle & reports to the concern department if any damage on the car.
- Engaged in the fleet management and provide basic and intermediate knowledge during events.
- Coordinate with internal stakeholders to fulfill transportation needs and deliver on time.
- Conduct regular inspections of vehicles to ensure they meet safety and quality standards.
- Prepare reports and analysis on fleet performance, utilization, and mileage.
- Monitor vehicle usage and ensure compliance with company policies and regulations.
- Stay updated on industry trends, regulations, and best practices in fleet management.
- Fleets movement in the training center during events and special occasions.
- Maintaining and updating the foyer and hallway car displays.
- Develop network of contacts, service providers and businesses within their communities to serve guests.
- Maintaining and charging the vehicles used for the trainings and TC car displays.
Reception Support (In coordination with Receptionist):
- Meet and greet with the staffs, visitors, and training participants.
- Support in front desk operations including visitor/participant logs, and general inquiries.
- Assist and coordinate with contractors for site visit, repair, maintenance, and construction.
- Coordination with housekeeping staffs to ensure cleanliness of the building.
- Report any damage and faulty in the facility and support with rectifying the issue.
- Receive delivery from suppliers.
- Basic IT support with AV systems, docking station, printer, etc.
- Providing or arranging taxi services for guests & participants.
Training and Operation Support (In coordination with Receptionist):
- Prepare classrooms and materials to be used for the training, meeting or conference.
General:
- Perform any other duties that may be assigned from time to time which are aligned with the role.
MINIMUM EDUCATION:
- High School Diploma or equivalent
KNOWLEDGE & TECHNICAL SKILLS:
- Valid UAE Driving License (mandatory)
- Basic knowledge of fleet management procedures – refuelling via CAFU application, ensuring vehicles are well-maintained, inspection for interior and exterior car damage (dents, scratch, paint chips, etc), coordinating with car attendant to ensure vehicle cleanliness
- Strong interpersonal and communication skills
- Familiarity with front desk operations and guest services
- Basic IT troubleshooting skills (e.g., monitors, printers, etc.)
- Good coordination and organizational skills
- Ability to multi-task and work under minimal supervision
- Professional appearance and customer-focused mindset
- Basic understanding of vehicle safety and compliance standards
- Time management and problem-solving abilities
MINIMUM EXPERIENCE:
- At least 2-3 years of experience in a similar role (concierge, receptionist, fleet assistant, facility support or front desk support)
- Experience in facility management or training/event support is a strong advantage
- Prior involvement in vehicle coordination, guest logistics, or administrative support tasks
