The Document Controller is responsible to manage, control, and maintain all technical and administrative documents related to engineering and maintenance operations within the estate. The Document Controller ensures accuracy, security, traceability, and timely availability of all project documents, drawings, permits, and maintenance records to support smooth engineering workflows, compliance, and recordkeeping for audits and inspections.
JOB LOCATION - FUJAIRAH, UAE (2 vacancies)
QUALIFICATIONS:
- Diploma or Bachelor's degree in Business Administration, Engineering, Information Management, or a related field.
- Certification in Document Control, Records Management, or ISO 9001 (preferred).
- Familiarity with document control systems or EDMS (Electronic Document Management Systems) is an advantage.
EXPERIENCE:
- 2–4 years of experience in a document control or administrative support role, preferably in an engineering, construction, or facilities management setting.
- Experience in managing technical documents such as shop drawings, method statements, permits, and maintenance records.
- Familiarity with document control procedures in private estates, residential compounds, or luxury facilities is desirable.
JOB DESCRIPTION:
Document Control & Filing
- Excellent organization and tracking of engineering documents (drawings, reports, O&M manuals, checklists, compliance certificates, etc.).
- Implementing and maintaining a structured document filing system (physical and electronic).
- Managing document versions and revisions with clear traceability.
Compliance & Recordkeeping
- Understanding documentation required for civil defense, municipality inspections, and QHSE audits.
- Ensuring confidentiality and secure access control to sensitive documents.
- Familiarity with permits, warranties, and equipment logs.
Software & Systems
- Proficient in MS Office Suite (especially Excel, Word, Outlook).
- Experience with EDMS such as SharePoint, or internal engineering document platforms.
- Comfortable working with AutoCAD file management, PDF markups, and file conversions.
Communication & Coordination
- Coordination with internal departments (engineering, maintenance, procurement, security) to update and archive documents.
- Effective communication to follow up on missing or outdated records.
- Ability to prepare summary logs, registers, and reports for management and audits.
Attention to Detail
- High level of accuracy in reviewing document formats, naming conventions, and numbering systems.
- Consistent checking for document completeness and approvals before archiving or sharing.
