Job Purpose:
The Facilities Administrator is responsible for providing administrative and operational support to the Facilities Management team, ensuring the smooth running of the workplace by coordinating maintenance, managing vendor relationships, overseeing office services, and supporting health and safety compliance.
Key Responsibilities:1. Administrative Support
- Maintain records and documentation related to facilities operations, such as maintenance logs, service contracts, and asset registers.
- Manage incoming correspondence related to facilities (emails, phone calls, service requests).
- Assist in preparing reports, budgets, and presentations for the Facilities Manager.
2. Vendor & Contract Management
- Coordinate with external vendors for routine maintenance, repairs, and office services (cleaning, HVAC, pest control, etc.).
- Track contract renewals, performance metrics, and service levels.
- Ensure timely invoicing, payments, and documentation for vendor-related expenses.
3. Maintenance & Repairs
- Receive and log maintenance requests from staff and ensure timely resolution.
- Schedule preventive maintenance and ensure completion by service providers.
- Conduct site inspections and report issues proactively to the Facilities Manager.
4. Office Management
- Ensure the cleanliness, safety, and functionality of the workplace.
- Manage office supplies inventory and place orders as necessary.
- Coordinate moves, installations, and setups of office furniture and equipment.
5. Health, Safety & Compliance
- Support health and safety initiatives and ensure compliance with company policies and local regulations.
- Maintain records of fire drills, safety audits, and emergency equipment inspections.
- Act as a liaison for internal and external audits related to facilities.
6. Space & Asset Management
- Maintain up-to-date records of seating plans and workspace allocations.
- Assist in managing access cards, parking allocations, and company assets.

- Proficient in MS Office and facilities management software (e.g., CAFM/CMMS)
- Attention to detail and problem-solving abilities
- Ability to work independently and as part of a team
Qualifications:
- Bachelor’s degree or diploma in Business Administration, Facilities Management, or related field
- 2+ years of experience in a facilities or office administration role
- Knowledge of facilities operations and vendor management preferred
Job Type: Full-time
Pay: AED2,500.00 per month
