Job Summary:
As s Finance & Logistics Coordinator you will be responsible for overseeing the financial operations, procurement activities, and logistics coordination of the EV charging business. This includes invoicing, collections, inventory tracking, material ordering, supplier management, import/export logistics, and ensuring accurate data management in Zoho Books and Zoho Inventory. The role plays a key part in aligning financial controls with operational needs, maintaining supplier performance records, and ensuring smooth end-to-end material handling from order to delivery.
Key Responsibilities:
- Track revenue, payment schedules, and outstanding collections.
- Coordinate with sales for issuing customer invoices and with operations for project completion validation.
- Reconcile supplier/subcontractor invoices against completed work.
- Maintain financial data accuracy in Zoho Books, including transactions, approvals, and reports.
- Generate financial reports, budget summaries, and monthly forecasts.
- Oversee the logistics process for all incoming and outgoing shipments, including customs clearance, delivery coordination, and warehouse receipt.
- Maintain a master tracker for all procurement activities, including order confirmations, delivery timelines, and vendor performance.
- Coordinate with banks and finance institutions on Letters of Credit (LCs), bank guarantees, and other trade finance instruments related to procurement and projects.
- Assist in contract management and validation of commercial terms with suppliers, ensuring alignment with internal approvals and project budgets.
- Monitor actual project expenses versus budgets and highlight cost overruns or variances for management action.
- Manage the logistics and coordination of spare parts replenishment and restocking, based on project schedules and service forecasts.
- Support the internal audit process by preparing and providing documentation related to procurement, payments, and inventory records.
- Liaise with freight forwarders, courier companies, and warehouse providers to optimise delivery times and reduce logistical costs.
- Implement and maintain procurement documentation templates, such as Purchase Requisitions, Purchase Orders, and Delivery Notes, for consistency and traceability.
- Provide weekly/monthly logistics and procurement performance reports to the Finance & Logistics Manager, including KPIs such as procurement lead time, cost savings, and stock rotation rates.
- Control and track all inventory transactions in Zoho Inventory.
- Ensure real-time updates of stock-in and stock-out movements.
- Procure materials, including EV chargers and electrical components (cables, breakers, signage, etc.) after confirming specifications and quantities with operations.
- Liaise with suppliers to manage deliveries and pricing.
- Maintain strict document control for all finance and procurement records.
- Use OneDrive to organise and store all financial and supplier documentation securely.
- Review and restrict file access to authorised users only and coordinate with IT/legal when needed.
Job Type: Full-time
Pay: AED4,000.00 - AED5,500.00 per month
