Job Summary:
The Front Desk Executive serves as the first point of contact for visitors and callers, while also managing front office operations, providing administrative support, and coordinating travel and logistics including transport, hotel bookings, flight arrangements, visa applications, and courier handling.
Key Responsibilities:Reception & Front Office Management
- Greet and assist visitors, clients, and employees in a professional and courteous manner.
- Maintain a clean, organized, and presentable front desk and waiting area.
- Manage incoming calls and route them to the appropriate departments or individuals.
- Handle and log all incoming and outgoing mail, couriers, and packages.
Arrangement of Gate Passes
- Coordinate the issuance, tracking, and retrieval of various gate passes for visitors, vendors, and staff in JAFZA, ensuring adherence to JAFZA security protocols and procedures.
Travel & Logistics Coordination
- Air Ticket Booking: Coordinate and book domestic and international flights in line with the travel policy.
- Hotel Room Booking: Arrange accommodation as per travel plans and company guidelines.
- Transport Coordination: Organize local and outstation transport including airport transfers and daily staff transportation.
- International Travel Coordination: Manage end-to-end international travel including flights, hotel, visas, travel insurance, and country-specific compliance.
- Travel Records & Expenses: Maintain accurate logs of travel bookings, itineraries, and related expenses for reporting and audits.
Courier Management
- Handle incoming and outgoing courier shipments.
- Coordinate with courier vendors for prompt dispatch and delivery.
- Maintain proper documentation and records, logs, and tracking of all courier movements.
Administrative Support
- Schedule meetings, manage calendars, and book meeting rooms.
- Assist in general office administration and day-to-day coordination.
- Maintain organized filing systems and ensure secure documentation storage.
Other Support Functions
- Liaise with housekeeping, maintenance, and security for smooth office functioning.
- Monitor office supplies and coordinate timely replenishment.
- Assist HR/Admin with staff onboarding and internal events as needed.
Qualifications & Skills:
- Bachelor’s degree or Diploma in any relevant field.
- 4–5 years of experience in front office operations and travel desk management.
- Hands-on experience in travel bookings, visa coordination, and vendor handling preferred.
- Proficient in MS Office (Word, Excel, Outlook).
- Strong organizational, multitasking, and communication skills.
- Customer service-oriented with a professional appearance.
- Ability to work efficiently in a fast-paced environment.
- Prior experience in a family business setup is an added advantage.

Pay: AED4,000.00 - AED5,000.00 per month
