Position Overview: As an Office Assistant, you will be responsible for providing administrative support to ensure the smooth running of daily office activities. This role requires attention to detail, strong organizational skills, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
- Answering phone calls and directing them to the appropriate team members.
- Managing office correspondence, including emails, letters, and packages.
- Organizing and maintaining office filing systems, both electronic and physical.
- Scheduling appointments and meetings, and coordinating calendars.
- Assisting with office supplies inventory and ordering when necessary.
- Managing office equipment and ensuring all systems are in working order.
- Performing basic clerical duties such as photocopying, scanning, and faxing documents.
- Assisting in preparing documents and presentations for meetings.
- Handling general administrative tasks to support various departments.
- Welcoming visitors and clients in a professional manner.
- Ensuring the office space remains clean, organized, and efficient.
Requirements:
- Proven experience as an office assistant or in a similar administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize tasks effectively.
- Attention to detail and problem-solving abilities.
- Professional demeanor and a positive attitude.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Experience with office management software (e.g., Google Workspace, Slack, etc.) is a plus.
- High school diploma or equivalent required; additional administrative certifications are a bonus.
