The Procurement Officer is responsible for sourcing, purchasing, and managing the supply of goods and services required by the organization. This role ensures cost-effectiveness, quality, and timely delivery while maintaining strong vendor relationships and complying with organizational policies.
Key Responsibilities:
- Source, evaluate, and select suppliers based on price, quality, delivery time, and service.
- Prepare, issue, and manage purchase orders in accordance with company policies.
- Negotiate terms and contracts with vendors to achieve favorable pricing and conditions.
- Maintain accurate records of purchases, contracts, and supplier performance.
- Monitor inventory levels and coordinate with relevant departments to avoid shortages or overstocking.
- Review and approve invoices in line with purchase orders and contracts.
- Ensure compliance with organizational procurement policies, standards, and legal requirements.
- Develop and maintain positive relationships with suppliers and internal stakeholders.
- Conduct market research to identify trends, competitive pricing, and alternative suppliers.
- Support management in budget planning and cost reduction initiatives.
Skills & Competencies:
- Strong negotiation and vendor management skills.
- Knowledge of procurement processes, best practices, and relevant software (ERP/Procurement systems).
- Attention to detail and strong organizational skills.
- Ability to analyze market trends and supplier performance.
- Excellent communication and interpersonal skills.
- Basic accounting and financial understanding for purchase tracking and budget management.
Qualifications:
- Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
- Proven experience in procurement, sourcing, or supply chain management (2+ years preferred).
- Proficiency in Microsoft Office and procurement software.
