Receptionist / Front Office Executive & Personal Secretary
Job Summary:
We are seeking a professional and dynamic individual to serve as the first point of contact at our front desk while also providing high-level secretarial and administrative support to the General Manager (GM). The ideal candidate must be well-presented, organized, discreet, and able to handle a variety of tasks efficiently in a fast-paced environment.
Key Responsibilities:
Front Office / Reception:
· Greet and assist visitors, clients, and vendors in a professional and welcoming manner.
· Answer, screen, and forward phone calls; manage front desk email.
· Maintain visitor logbooks, issue badges, and follow access protocols.
· Handle courier services, incoming/outgoing mail, and front desk supplies.
· Maintain the cleanliness and presentation of the reception area.
· Personal Secretary to the General Manager:
· Manage the GM’s daily schedule, appointments, and calendar.
· Organize and coordinate meetings, conferences, and travel arrangements.
· Prepare and review correspondence, memos, reports, and presentations.
· Take meeting minutes, follow up on action items, and maintain confidentiality.
· Act as a liaison between the GM and internal/external stakeholders.
· Assist in preparing reports and documents required for management reviews.
· Administrative Support:
· Maintain filing systems, office records, and confidential documents.
· Coordinate with HR, Admin, and other departments as required.
· Support office events, VIP visits, and internal communication.
Qualifications & Experience:
· Bachelor’s degree or diploma in Business Administration or related field.
· Minimum 1-2 years of experience in a similar role in the UAE.
· Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
· Excellent communication skills in English
· Professional appearance and interpersonal skills.
· Discretion in handling confidential matters.

Job Types: Full-time, Permanent
Pay: AED1,800.00 - AED2,500.00 per month
