Admin Officer
Job Description:
Administrative Operations:
- Oversee day-to-day administrative activities to ensure smooth workflow.
- Maintain professional filing systems for all physical and digital documents.
- Monitor and enforce adherence to company policies on dress code, discipline, and workplace etiquette across all locations.
- Record Keeping & Renewals
- Maintain accurate and up-to-date employee records, including personal information, contracts, and leave data.
- Monitor, ensure & record timely renewals of employee visas, labour cards, tenancy contracts, commercial trade licenses etc.
Workplace Cleanliness & Equipment Maintenance:
- Ensure the maintenance of cleanliness, neatness, and tidiness in all office and warehouse locations, meeting professional standards.
- Monitor and coordinate maintenance requests for vehicles and equipment, ensuring proper actions are taken promptly.
- Keep all equipment in good condition through regular servicing and inspections.
- Inspect and ensure all company signboards across Haroon Company and Proline Trading locations are clean, well-lit, and free from snags.
Safety & Contingency Planning:
- Develop, implement, and regularly update contingency plans for all company locations in case of emergencies.
- Conduct monthly fire drills at warehouse locations and maintain professional records of each drill.
- Report fire drill records and findings to management for review and improvements.
Vehicle Maintenance & Tracking:
- Maintain detailed records of company vehicle maintenance schedules, insurance renewals, and registrations.
- Address vehicle maintenance requests promptly to ensure smooth operation.
Coordination & Reporting:
- Liaise with HR, accounts, and other departments for seamless operations.
- Act as a point of contact for administrative queries and issues.
- Prepare and submit periodic reports on administrative activities, including renewal schedules and vehicle maintenance logs.
Workplace Management:
- Ensure all files are maintained in a correct and professional manner.
- Enforce strict adherence to safety protocols and workplace discipline at all locations.
Compliance & Professionalism:
- Ensure compliance with local laws and regulations regarding labour, safety, and licenses.
- Promote a professional workplace environment through consistent standards and practices.
Other duties as assigned by the management.
Requirements:
- Education : Bachelor’s degree in Business Administration or a related field.
- Experience : 2-3 years of experience in administrative roles with a focus on compliance and record-keeping,
- Proficiency in : MS Office (Word, Excel, and PowerPoint)
- UAE Driving Licence : Mandatory
- Pre-requisite : Strong organizational and multitasking skills, excellent communication and interpersonal skills, attention to detail and the ability to work independently.
Job Type: Full-time
Pay: AED4,000.00 - AED5,000.00 per month
