Job Summary: We are seeking a highly organized and proactive Administrator with proven experience in the holiday homes industry in Dubai. The successful candidate will be instrumental in ensuring the smooth daily operations of our office, supporting our property management team, and contributing to the overall guest and owner satisfaction.
Key Responsibilities:
Guest & Booking Support:
- Respond to guest inquiries via phone, email, and online platforms in a timely and professional manner.
- Assist with booking confirmations, modifications, and cancellations.
- Provide information to guests regarding property features, local attractions, and check-in/check-out procedures.
- Coordinate with the operations team for guest arrivals and departures.
Property Owner Liaison:
- Maintain accurate records of property owner agreements and communications.
- Assist in preparing owner statements and reports.
- Address owner queries and requests promptly.
Administrative Support:
- Manage and organize office files, documents, and records (both physical and digital).
- Handle incoming and outgoing correspondence.
- Maintain office supplies inventory and place orders as needed.
- Coordinate meetings and appointments.
- Prepare basic reports and presentations as required.
- Assist with invoicing and payment processing.
Operational Coordination:
- Liaise with maintenance, housekeeping, and other vendors to schedule services for properties.
- Track and manage inventory of amenities and supplies for holiday homes.
- Ensure all necessary documentation for property permits and licenses is up-to-date.
Database Management:
- Input and update property information, guest details, and booking data into our management systems.
- Ensure data accuracy and integrity.
Qualifications:
- MUST have previous experience (1-2 years minimum preferred) in an admin role within a Holiday Homes company in Dubai.
- Proven understanding of the Dubai holiday homes market and regulations.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with holiday homes management software/PMS is a significant advantage.
- Excellent written and verbal communication skills in English.
- Strong organizational and time management skills with the ability to multitask effectively.
- High level of attention to detail and accuracy.
- Proactive, problem-solving attitude with a strong customer service orientation.
- Ability to work independently and as part of a team.
