Role Purpose
To support the preparation and delivery of events and activities by providing operational, administrative, and logistical assistance. The Assistant Officer - Events ensures smooth execution of events in line with organizational standards.
Accountabilities & Activities
Key Activities
- Event Logistics & Operations
- Assist in organizing logistical arrangements, including venue setup, catering, audio-visual requirements, and transportation.
- Coordinate the preparation of event materials such as signage, promotional items, name badges, and registration documents.
- Support on-site execution providing general assistance during events.
- Administrative & Coordination Support
- Maintain accurate records of event-related data, such as guest lists, and logistical checklists.
- Assist in coordinating with external vendors and service providers to ensure timely delivery of goods and services.
- Track event inventories and handle procurement of necessary supplies.
- Communication & Event Support
- Work closely with colleagues on urgent media-related tasks and event management needs, providing timely support to address immediate communication requirements.
- Safety, Quality & Environment
- Ensure compliance to all relevant management policies, procedures, and controls within the Projects division of ESA to ensure employee safety, legislative compliance, delivery of high-quality products/service and a responsible environmental attitude.
