Executive Support for ADGANS
- Manage the schedules, appointments, and meetings of ADGANS to ensure optimal use of available time at work
- Manage ADGANS travel arrangements and itineraries during local and international travel
- Ensure excellent communication levels with local and internal aviation regulatory authorities such as ICAO/CANSO/ IATA
- Liaise and communicate with external international and local ANSPs on a regular basis on behalf of ADGANS
- Assist the ADGANS in timely and accurate preparation of annual budgets and provide ongoing information on variances
- Support ADGANS with Edarti Tasks, reimbursement claims and other related Portal tasks.
- Deliver proactive support to ADGANS, anticipating needs and providing strategic solutions.
- Coordinate special projects and initiatives undertaken by ADGANS for ANS.
Office Administration
- Maintain organized and up-to-date records and files, both physical and electronic for the ADG office.
- Develop and compile presentations, reports and correspondence.
- Coordinate with other departments to ensure smooth workflow and information sharing.
- Safeguard confidential information and maintain accurate records
Delegations, Meetings and Conferences
- Efficiently plan, schedule and manage events, conferences and meetings held at SZC or as needed at external venues.
- Ensure hotel booking and travel arrangements are made for delegations visiting SZC for meetings and visits.
Monthly Reports / Minutes of Meetings
- Liaise with all sections of ANS and compile the required Monthly Reports
- Compile all monthly and annual summary reports for the Board of Directors.
General Administration
- Ensure all administrative activities required for proper functioning of SZC are done in coordination with Admin Officer and CNS M&E Manager
- Responsible for issuing and disseminating internal staff announcements and circulars
KNOWLEDGE AND EXPERIENCE:
Diploma in business administration or equivalent with 3 years’ experience in a similar role, or as defined in the JD Matrix.
