The Inventory Controller will be required to perform warehousing and inventory management tasks within the Engineering and Maintenance stores of the Dubai Metro.
MAIN RESPONSIBILITIES
Operational
Inbound Receivin
- Supervise the inbound receiving process, including the offloading, identification and physical inspection of delivered materials.
- Review and verify inbound documents from suppliers for accuracy and completeness.
- Coordinate with Engineers to schedule the technical inspection of received materials.
- Record received materials in the Maintenance Management System (MMS).
- Verify lot numbers and conversion factors on all delivered purchase orders, then record the items in the MMS, ensuring that quantities and details match the delivery documentation.
- As part of the GRN process, create asset numbers for received assets. Record these asset numbers, along with serial numbers, warranty dates and calibration dates in the MMS, as required.
- Label items with Item ID and asset stickers (where applicable) after confirming their receipt in the MMS, and prepare suitable storage locations.
- Upload material images in the Item Master if not available.
- Supervise the storing of materials, ensuring the use of appropriate equipment (e.g., forklifts, pallet jacks or trolleys) and the application of the First In, First Out (FIFO) method for inventory arrangement.
- Ensure that all hazardous materials are segregated by type and that Material Safety Data Sheets (MSDS) and Control of Substances Hazardous to Health (COSHH) documents are available.
- Coordinate with suppliers via email or telephone regarding rejected materials.
- Coordinate with Logistics Team for all international deliveries to ensure materials are received without delay.
Outbound Issuance
- Supervise the outbound issuance process, ensuring that all material issuance requests from the maintenance teams are promptly processed.
- Verify all material issuances in the MMS to ensure inventory accuracy.
- Supervise the preparation of materials kits ensuring that all transactions are accurately recorded in the MMS.
- Support the delivery and return of kits to and from designated maintenance team locations and satellite stores.
- Physically verify pick sheets and returned materials, and record all material movements between the store and the kitting preparation zone in the MMS.
- Supervise the Lead Storekeeper and Storekeeper staff during the physical verification of serial numbers and asset numbers of returned assets against documents such as Material Return Requests, Asset Fault Reports and Decommissioning Reports.
- Process returned materials/assets from maintenance teams in the MMS.
- Maintain all outbound related trackers, such as the Manual Issuance Tracker and Scaffolding Issuance Tracker.
Repair and Decommissionin
- Coordinate with the Logistics Team and sub-system staff to prepare spares for internal / external repair.
- Assist the Assistant Stores Manager in preparing, arranging and verifying all assets which need to be decommissioned.
- Verify all relevant documentation and ensure that all transactions are accurately recorded in the MMS.
Waste Managemen
- Supervise the Lead Storekeepers and Storekeepers during the waste return process and guide end-users on proper waste segregation and disposal.
- Coordinate with approved vendors for the collection of waste and supervise all on-site collection activities.
- Verify the documents and maintain the Waste Collection tracker.
- Follow up with the vendor for Invoices and process it to finance department.
Calibration and Certification of Controlled Equipmen
- Coordinate the Calibration / Certification activity with the sub-system representative and service provider, in accordance with the Controlled Equipment tracker.
- Lead the handling (dispatch and receiving) and storage of Controlled Equipment as required during the Calibration / Certification process.
- Record all asset movements and upload the Certificate of Conformity in the MMS.
- Verify the PO and invoice submitted by the service provider and process it to finance department.
General Task
- Record all stock movements in the MMS to ensure accurate inventory tracking.
- Perform and coordinate regular stock audits to maintain inventory accuracy.
- Assist with internal cycle counts and the annual stock take.
- Carry out manual handling and material movement tasks as required.
- Arrange materials in line with 5S standards and the FIFO methodology.
- Safely handle chemicals and inflammable materials.
- Ensure proper housekeeping and cleanliness across all storage areas.
- Sort, pack, wrap, tie and label items as per the standard procedures.
- Regularly inspect spill kits and first aid kits monthly to ensure readiness.
- Conduct daily inspections of storage locations and Stores tools and equipment and raise service requests / report any identified defects.
- Operate forklifts and other lifting equipment, provided legal and official training is completed.
- Check and put the forklifts on charge as and when required.
- Oversee the team shift handover process ensuring all documentation is properly completed.
- Immediately report any incidents, accidents, or near misses to supervisors.
- Identify and implement new ways of working that will improve efficiency in the supply chain management processes.
- Perform higher responsibility tasks and other duties / projects, as directed by supervisors, including the preparation of the team roster, attendance tracker and monthly reports.
- File and organise all documentation in accordance with company policies and procedures.
- Respond to or forward incoming emails and phone calls to the concerned team in a timely manner.
