Key Responsibilities
- Purchase Order Management
- Proactively track and follow up on purchase orders to ensure on-time delivery from vendors and suppliers.
- Communicate effectively with manufacturers and local suppliers to promptly resolve issues related to unsatisfactory, shortage, or discrepant items, ensuring closure.
- Logistics Operations Supervision
- Oversee daily logistics activities, including transportation, warehousing, and material handling, to ensure seamless operations.
- Manage inventory control, maintain stock accuracy, and ensure timely dispatch of goods.
- Delivery Coordination
- Ensure timely delivery of goods to project sites, clients, or storage facilities, meeting all contractual and operational deadlines.
- Plan, manage, and coordinate the entire logistics cycle, encompassing both inbound and outbound shipments.
- Client Liaison and Order Closure
- Liaise with clients to address post-order requirements and ensure successful order closure.
- Ensure full payment is received from clients without deductions for non-applicable charges.
- Negotiation and Communication
- Negotiate with clients for delivery extensions by clearly communicating and justifying any delays.
- Shipment and Budget Management
- Finalize shipments within the approved budget for each order, optimizing cost efficiency.
- Shipment Tracking and Compliance
- Track shipments from dispatch to delivery, ensuring proper documentation and adherence to international shipping regulations.
- Issue Resolution and Process Improvement
- Identify bottlenecks causing shipment delays and implement corrective actions to expedite delivery.
- Reporting and Performance Monitoring
- Prepare and maintain expediting reports, shipping logs, and tracking documents for transparency and accountability.
- Customer Satisfaction
- Strive to exceed end-user expectations by delivering industry-leading service, fostering repeat business from EPC contractors and end users.
- Maintain and update supplier performance tracking sheets to drive continuous improvement.
- Generate and distribute weekly reports on delayed orders to relevant stakeholders.
- Maintain close communication with procurement, warehouse, and project teams to align logistics plans with operational priorities.
- Coordinate with freight forwarders, customs agents, and third-party logistics providers for timely clearance and transportation.
- Arrange for export and import clearance, ensuring all necessary documentation is accurate and complete.
- Collaborate with the technical department to guarantee all project and client quality requirements are fulfilled.
