We are seeking a highly organized, proactive, and professional Personal Assistant & Receptionist to provide comprehensive administrative and front-desk support to the Managing Partner. The ideal candidate will be a polished communicator with a strong sense of discretion, time management, and the ability to handle multiple tasks efficiently in a dynamic environment.
Key Responsibilities:Personal Assistant Duties:
- Manage the daily schedule, calendar, and appointments of the Managing Partner.
- Coordinate meetings, conference calls, and travel arrangements (domestic and international).
- Prepare agendas, meeting notes, presentations, and reports as required.
- Screen and prioritize emails, calls, and correspondence on behalf of the Managing Partner.
- Handle confidential documents and information with utmost discretion.
- Follow up on action points and ensure timely completion of tasks.
- Assist with personal errands or tasks as required (limited and appropriate to the role).
Receptionist Duties:
- Greet and welcome visitors, clients, and partners with professionalism and warmth.
- Answer and route incoming calls, take accurate messages, and respond to inquiries.
- Maintain a clean, organized, and presentable reception area.
- Manage incoming and outgoing mail, courier services, and deliveries.
- Coordinate meeting room bookings and refreshments for client meetings.
- Maintain visitor logs and ensure adherence to office security protocols.
Qualifications and Skills:
- Bachelor’s degree preferred; diploma or certificate in office administration or related field acceptable.
- 2+ years of experience as a Personal Assistant, Receptionist, or in a similar administrative role.
- Exceptional verbal and written communication skills.
- Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with calendar and scheduling tools.
- High level of professionalism and integrity, with a strong sense of confidentiality.
- Well-organized, detail-oriented, and able to multitask in a fast-paced environment.
- Positive attitude, polished appearance, and excellent interpersonal skills.
Working Conditions:
- Office-based, Monday to Friday [9:00am to 6:00pm].
