Job Title: Reception & Sales Coordinator
Department: Sales / Front Office/ Admin
Reports To: Managing Director
Position Type: Permanent
Work Location: Business Bay
Working Hours: 9 am to 7 PM (1 hour break)
Working days: Monday to Saturday (Sunday off)
Key Job Duties & Responsibilities
1. Front Desk / Reception Duties
- Greet and assist clients, visitors, and walk-ins in a professional and welcoming manner.
- Manage incoming phone calls and direct them to the appropriate departments or team members.
- Handle general inquiries related to company services, listings, or scheduled viewings.
- Maintain a clean and organized reception area.
- Manage incoming and outgoing mail, couriers, and deliveries.
2. Administrative Support
- Maintain schedules and appointments for sales agents and management.
- Assist with the preparation of sales documentation, contracts, and other client forms.
- Maintain and update client databases and CRM systems.
- Handle office supplies inventory and order new stock as needed.
- Prepare meeting rooms for internal or client meetings.
3. Sales Coordination
- Assist the sales team with property listings, ensuring accuracy and consistency of property information.
- Coordinate property showings and open house events with clients and agents.
- Follow up with leads and inquiries, schedule appointments, and maintain communication records.
- Liaise with clients regarding required documentation and transaction timelines.
- Assist in preparing sales presentations, proposals, and marketing materials.
4. Marketing Support
- Coordinate with the marketing team for property promotions, social media posts, and email campaigns.
- Ensure that all marketing materials (brochures, banners, flyers) are up to date and available.
- Maintain the listings on the website and third-party real estate platforms.
5. Customer Relationship Management
- Maintain a positive and professional relationship with clients throughout the buying/selling/renting process.
- Provide support to client’s post-sale or lease with documentation and general inquiries.
- Track and manage customer feedback and report concerns to management.
6. Compliance and Records
- Ensure all files and records are maintained by company policy and real estate regulations.
- Support agents with compliance-related documentation and submissions.
7. Other Duties
- Assist management and sales agents with ad-hoc projects or events.
- Coordinate with external vendors, property developers, or partners as needed.
- Contribute to team meetings and provide insights for process improvements.
