ABOUT THE ROLE
We are looking for a highly organized, detail-oriented, and proactive Admin Assistant who will also serve as the front desk receptionist and office in-charge. This hybrid role requires someone capable of managing both administrative and front desk duties, including office supplies and pantry management, ensuring smooth day-to-day operations in a professional setting.
KEY RESPONSIBILITIES
- Manage front desk duties: greet visitors, answer calls, and handle general inquiries.
- Act as the office in-charge, ensuring pantry and office supplies are stocked and organized.
- Coordinate with vendors for purchases, maintenance, and office needs.
- Maintain organized records of company documents, contracts, and employee files.
- Handle internal communications, memos, and official correspondence.
- Schedule meetings, manage calendars, and arrange travel bookings.
- Support finance team by tracking office expenses, invoices, and preparing purchase orders.
- Assist HR in monitoring attendance, processing employee requests, and handling HR documentation.
- Prepare and renew visa, labor cards, and employment contracts in coordination with PRO.
- Ensure compliance with company policies and support general administrative functions.
Requirements:
- Bachelor’s degree in Business Administration, Human Resources, or a related field.
- Prior experience in administration, HR, and front desk or receptionist roles.
- Strong organizational, communication, and multitasking skills.
- High level of professionalism and ability to represent the company at the reception area.
- Proficiency in MS Office and necessary admin tools.
- Ability to handle confidential information with discretion.
- Familiarity with UAE labor laws is an advantage.
