Job Summary:
We are looking for a skilled and highly organized Vehicle Dispatch Coordinator to manage the smooth pickup and delivery of customer cars from our workshop to their designated locations ensuring optimization of routes. The successful candidate will not only handle dispatch coordination but also be responsible for handling customer appointments and providing a professional meet and greet for walk-in customers. This role requires effective communication with customers, drivers, and service advisors, as the coordinator will be the first touch point with all parties involved. Furthermore, familiarity with Dubai's road network, traffic patterns, and navigation tools is MUST.
Key Responsibilities:
- Meet and greet and assist walk-in customers, ensuring a positive and pleasant interaction while promptly addressing any inquiries they may have.
- Handle customer appointments and scheduling efficiently.
- Receive and review customer vehicle pickup and delivery requests from the workshop team.
- Organize and schedule driver assignments based on location, workload, and delivery timeframes.
- Ensure all vehicles are dispatched promptly and in compliance with service level agreements.
- Utilize in-depth knowledge of Dubai's roads, traffic routines, and navigation tools to optimize pickup and delivery routes.
- Consider traffic conditions and time of day to plan the most efficient routes.
- Address any concerns or questions from drivers during their routes.
- Liaise with customers to confirm pickup and delivery schedules and address any changes or delays proactively.
- Provide excellent customer service by promptly responding to inquiries and resolving any issues related to vehicle pickup or delivery.
- Maintain accurate records of vehicle dispatch activities, including pickup and delivery times, customer information, and driver performance.
- Use proficiency in English, Hindi, and Arabic to effectively communicate with customers, ensuring smooth interactions.
Qualifications:
- High school diploma or equivalent; additional relevant certifications or training are a plus.
- Proven experience in dispatch coordination or a similar role, preferably in the automotive industry.
- Familiarity with Dubai's road network, traffic patterns, and navigation tools.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills in English (mandatory), Hindi, and Arabic (plus).
