We are seeking a proactive, dynamic, and detail-oriented individual to join our expanding team as an Accounts & Admin Assistant. The ideal candidate should be highly motivated, energetic, and capable of managing both accounting and administrative functions efficiently.
Key ResponsibilitiesA. Accounting Duties
- Accurately manage Accounts Payable and update all expense transactions.
- Oversee Accounts Receivable including invoice preparation, reconciliation, and follow-up.
- Handle VAT calculations and payments; perform regular bank reconciliations.
- Properly post all financial transactions in the company’s internal accounting system.
- Maintain digital and physical financial records.
- Verify accuracy of spreadsheets and other financial data.
- Prepare and finalize monthly and quarterly financial reports.
- Assist with quarterly and annual financial audits.
- Monitor and analyze the company’s financial performance.
- Support the finance team in daily operations.
B. Administrative Duties
- Manage day-to-day office administration.
- Order and maintain inventory of office supplies.
- Ensure timely renewal of company documents such as trade licenses, tenancy contracts, vehicle registrations, and insurance policies.
- Maintain and update filing systems, records, and databases.
- Oversee the company fleet including vehicle maintenance, registration, and insurance renewals.
- Draft and prepare letters, reports, and presentations.
- Assist HR, finance, and other departments with administrative support.
- Manage visa processing and documentation.
- Maintain logs and reminders for contract and permit expirations.
- Handle Salik, traffic fines, and RTA-related processes.
- Assist in payroll preparation and related reporting.
Qualifications & Requirements
- Bachelor’s or Master’s Degree / Equivalent Diploma in Accounting.
- Minimum 2–3 years of experience in a similar role (UAE or home country).
- Proficient in Microsoft Office Suite, especially Excel and Word.
- Hands-on experience with QuickBooks and other accounting software.
- Solid understanding of bookkeeping practices and UAE financial regulations.
- Must be trustworthy and able to handle confidential information.
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- High attention to detail and ability to work under pressure and meet deadlines.
