Job Summary: The Administrative Assistant will play a crucial role in ensuring the smooth operation of the executive office. This role involves managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks to support the executive leadership team.
Key Responsibilities:
- Schedule Management: Organize and maintain complex calendars, schedule meetings, appointments, and travel arrangements.
- Communication: Manage and prioritize incoming emails, phone calls, and other correspondence. Draft and proofread emails, reports, and presentations.
- Meeting Coordination: Prepare agendas, take meeting minutes, and follow up on action items. Arrange meeting logistics and ensure materials are prepared in advance.
- Document Management: Maintain and organize digital and physical files, ensuring confidentiality and easy retrieval of documents.
- Travel Arrangements: Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.
- Expense Reporting: Prepare and submit expense reports, ensuring accuracy and compliance with company policies.
- Office Management: Oversee office supplies and equipment, and coordinate maintenance and repairs as needed.
- Special Projects: Assist with various projects and initiatives as assigned by the executive leadership team.
- Liaison: Act as a point of contact between the executive leadership and internal/external stakeholders, ensuring smooth communication and follow-up.
Qualifications:
- Proven experience as an Administrative Assistant or similar role, preferably supporting senior executives.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Strong problem-solving skills and the ability to work independently.
- High level of attention to detail and accuracy.
- Professional demeanor and strong interpersonal skills.
Education and Experience:
- A high school diploma or equivalent is required. A Bachelor's degree in Business Administration or a related field is preferred.
- Minimum of 3-5 years of experience in an administrative or executive support role.

Pay: AED5,000.00 - AED7,000.00 per month
