Job Overview
The Wonder Years Nursery is seeking a dedicated and proactive Administrator in Facilities to ensure the smooth and safe operation of our nursery environment. This role involves managing facility maintenance, government compliance, and operational efficiency to create a safe and welcoming space for our children, staff, and parents.
Key Responsibilities
Compliance & Safety:
- Ensure full compliance with Dubai Municipality and other government regulations.
- Maintain updated records of all required licenses, including trade licenses, building licenses, and other necessary government renewals.
- Ensure all Facility Management (FM) and Dubai Municipality (DM) files are up to date.
- Oversee waste disposal and environmental safety outside the building.
- Ensure compliance with health and safety regulations for staff and children.
Maintenance & Operations:
- Arrange regular maintenance of nursery equipment and internal systems (e.g., CCTV, fire alarms, biometric machines, HVAC systems).
- Conduct routine inspections of classrooms and furniture to identify and schedule necessary repairs.
- Oversee summer deep cleaning and disinfecting of the nursery premises.
- Monitor and track all facility-related expenses, including regular and ad-hoc costs.
- Coordinate parking duty in the mornings and afternoons.
- Liaise with maintenance team.
Transport Coordination:
- Arrange transportation for students with an RTA approved bus company.
- Ensure proper registration of bus nannies with the RTA.
- Oversee the daily bus schedule, ensuring all routes and timings are followed.
- Ensure the health and safety of passengers traveling via nursery transport.
Inventory & Procurement:
- Conduct a yearly inventory of school property in collaboration with the accounts department.
- Purchase pantry items, school consumables, and office supplies.
- Obtain quotations and manage purchasing processes for necessary supplies and maintenance services.
- Maintain an organized record of invoices from external suppliers, contractors, and transport providers.
Administrative Duties:
- Assist the PRO with documentation for government renewals and regulatory requirements (e.g., 24x7, trade license, building license).
- Assign cleaning tasks and oversee cleaning schedules for nursery staff alongside the supervisor.
- Keep detailed logs and ensure records are properly maintained for all facility-related operations.
Requirements
- Proven experience in facilities management, operations, or a similar role.
- Strong knowledge of Dubai Municipality regulations and compliance standards.
- Excellent spoken English and strong communication skills.
- Proficiency in computer skills, including MS Office (Excel, Word, Outlook).
- Ability to manage multiple tasks efficiently.
- Problem-solving skills and a proactive approach to maintenance and compliance tasks.
- Strong organizational skills with attention to detail.
