We are seeking a meticulous and highly organized Commercial Leasing Coordinator to join our dynamic property management team. The ideal candidate will be responsible for managing the end-to-end commercial leasing cycle, from initial inquiry to tenant handover. A critical component of this role is the ability to independently draft and manage lease agreements while ensuring full compliance with Dubai Land Department (DLD) and other governmental regulations. The successful candidate must have hands-on experience with the DLD portal, Ejari system, and the complete rental contract registration process.
Key Responsibilities and Duties
1. Lease Administration & Documentation:
Draft, review, and prepare commercial lease agreements, addendums, renewal letters, termination notices, and other related legal documents with a high degree of accuracy.
Ensure all leasing documentation is in full compliance with the latest regulations set forth by the Dubai Land Department (DLD), RERA, and Dubai Municipality.
Manage the entire Ejari registration process, including preparing and uploading required documents to the DLD portal, generating official Ejari certificates, and resolving any related issues.
Handle the complete registration of rental agreements with the DLD and Dubai Municipality, ensuring all procedural requirements are met in a timely manner.
Prepare and process No Objection Certificates (NOCs) for fit-outs, modifications, and other tenant requests.
2. DLD & Regulatory Compliance:
Serve as the primary expert on DLD portal operations for all commercial leasing functions.
Maintain an up-to-date and thorough understanding of Dubai’s rental laws and regulations, particularly concerning commercial properties.
Ensure all commercial properties and lease contracts in the portfolio are compliant with governmental and authority requirements.
3. Tenant & Stakeholder Coordination:
Act as the main point of contact for prospective and existing tenants regarding leasing inquiries, contract negotiations, and documentation.
Coordinate with legal, finance, and facilities management teams to ensure a seamless and efficient leasing process from start to finish.
Liaise with real estate agents and brokers, providing them with accurate information, necessary documentation, and support.
Facilitate the tenant move-in and move-out process, including inspections and handover procedures.
4. Reporting & Database Management:
Maintain a precise and up-to-date database of all lease agreements, tracking key dates such as lease commencement, expiry, renewal notice periods, and rent reviews.
Prepare and generate regular reports on leasing activity, vacancy rates, rental income, and tenancy schedules for management review.
Ensure a systematic and organized filing system for all physical and digital leasing records.
Required Qualifications & Skills
Experience: A minimum of 3 years of direct experience in a leasing coordinator, leasing administrator, or property paralegal role within the Dubai real estate market.
DLD & Ejari Proficiency: Mandatory hands-on experience and proven proficiency in using the Dubai Land Department (DLD) portal and the Ejari system to register contracts and issue certificates.
Legal Knowledge: Strong foundational knowledge of Dubai's real estate laws, rental dispute settlement procedures, and the legal framework governing commercial leases.
Contract Drafting: Demonstrable experience and skill in drafting and reviewing commercial lease agreements and related legal documents.
Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook). Experience with property management software (e.g., Yardi, MRI, Propspace) is a significant advantage.
Communication: Excellent verbal and written communication skills in English. Proficiency in Arabic is a strong plus.
Organizational Skills: Exceptional organizational, time-management, and multitasking abilities with a keen eye for detail.
Interpersonal Skills: A proactive, client-focused attitude with the ability to work independently and as part of a team.
Educational Background
Bachelor’s degree in Business Administration, Law, Real Estate, or a related field is highly preferred.
