Job Summary:
We are seeking a detail-oriented and proactive Document Controller with at least 3 years of experience in the UAE construction industry, specifically in high-rise building projects. The candidate must have solid knowledge of construction documentation systems and hands-on experience in obtaining necessary approvals from UAE government authorities such as Dubai Municipality (DM), DEWA, Civil Defense, Trakhees, and others.
Key Responsibilities:Document Management:
- Manage and control project documentation including drawings, technical submittals, RFIs, inspection requests, method statements, material approvals, etc.
- Ensure all documentation is up to date, properly archived, and easily retrievable.
- Distribute documents to relevant teams (consultants, contractors, subcontractors) and track acknowledgment.
- Maintain logs for incoming and outgoing documents, submittals, and correspondences.
- Prepare transmittals and maintain document filing in accordance with company standards.
Government Approvals & Coordination:
- Coordinate with government authorities for obtaining required project approvals such as DM, DEWA, Civil Defense, Trakhees, RTA, etc.
- Prepare and submit necessary documents and follow up on approval statuses.
- Ensure all permits, NOCs, and clearances are obtained in a timely manner to avoid project delays.
- Maintain an approvals tracker and notify project teams of pending or upcoming submissions.
Project Support:
- Work closely with project managers, engineers, consultants, and site teams to ensure smooth communication and document flow.
- Assist in preparing project reports and presentations when required.
- Handle confidential and sensitive information with discretion.
Qualifications and Requirements:
- Minimum 3 years of UAE experience in a document controller role within the construction industry, preferably on high-rise tower projects.
- Strong knowledge of documentation procedures, ISO standards, and archiving practices.
- Hands-on experience dealing with Dubai-based government entities for approvals.
- Proficient in MS Office, Document Control Software (e.g., Aconex, EDMS, Primavera Contract Management, Procore, etc.).
- Excellent communication and coordination skills.
- Ability to prioritize tasks and work under pressure.
Preferred Skills:
- Familiarity with drawing formats (AutoCAD, PDF markups) is a plus.
- Experience in handling multiple projects simultaneously.
