We’re currently looking for an Event Production Executive to join our team. This role is perfect for someone who thrives in a fast-paced environment, loves managing logistics, and has a passion for delivering exceptional events that leave a lasting impact.
About the Role
The Event Production Executive will be responsible for managing the technical, logistical, and operational aspects of event production. You will work closely with clients, vendors, and internal teams to ensure the seamless execution of events, ensuring everything from A/V setups to on-site logistics is meticulously planned and executed. This is a hands-on role that requires both creative and technical problem-solving skills.
Key Responsibilities
Event Production & Logistics
- Oversee the end-to-end production of events, from planning and coordination to execution and wrap-up
- Manage event timelines, production schedules, and day-of event logistics, ensuring all tasks are completed on time and within budget
- Coordinate with vendors, suppliers, and production teams to source and organize event materials, A/V equipment, and other event-related resources
- Ensure all production aspects—such as lighting, sound, staging, and special effects—are delivered according to client specifications
- Act as the primary point of contact for event vendors and suppliers, ensuring they meet our quality and operational standards
- Supervise the set-up, run-through, and breakdown of events, ensuring smooth transitions and high-quality execution at every stage
Client & Stakeholder Communication
- Liaise with clients to understand their production needs and ensure their vision is brought to life
- Provide regular status updates to clients and internal teams on the progress of event production
- Manage client expectations and provide solutions to any production challenges that may arise
- Assist in the development of creative production concepts, helping to shape and refine the event’s visual and technical elements
Budget & Resource Management
- Develop and manage event production budgets, ensuring efficient allocation of resources and cost-effective solutions
- Source and negotiate contracts with suppliers, equipment rentals, and other service providers
- Monitor production-related expenses and ensure all costs are tracked and within budget
- Assist in the preparation of event proposals, detailing production needs, vendor costs, and timelines
On-Site Management & Execution
- Be on-site for the duration of the event to oversee the production process and ensure all aspects run smoothly
- Coordinate with the event team, ensuring clear communication and the timely execution of all activities
- Troubleshoot and resolve any issues that arise on-site, ensuring client satisfaction and a seamless event experience
- Ensure compliance with safety protocols, permits, and any necessary regulations related to event production
Post-Event Evaluation & Reporting
- Conduct post-event debriefs with the internal team and clients to review event success and identify areas for improvement
- Compile production reports, documenting challenges, successes, and lessons learned for future reference
- Assist in the preparation of event recap reports for clients, including production highlights, attendee feedback, and performance metrics
Qualifications
- 2–4 years of experience in event production, project management, or a similar role with agency and pharmaceutical or medical background.
- Strong understanding of technical production, including A/V, lighting, staging, and other event-related logistics
- Excellent project management skills with the ability to handle multiple tasks and tightdeadlines
- Outstanding communication and interpersonal skills, with the ability to collaborate with diverse teams and clients
- Strong attention to detail and problem-solving abilities, especially in high-pressure situations
- Proficiency in event production software and basic MS Office tools (Excel, PowerPoint)
- Ability to travel as needed (approximately 10–25% depending on the project and location)
