We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to the Chairman and the organization. The successful candidate will serve as the primary point of contact for the Chairman, managing his schedule while also assisting with general administrative tasks of the organization.
Calendar Management: Efficiently manage the Chairman's calendar, including scheduling meetings, appointments, and events, and proactively anticipate schedule changes or conflicts.
Communication: Serve as the primary liaison to the Chairman for internal and external communication.
Meeting Coordination: Coordinate and prepare materials for meetings attended by the Chairman, including agendas, presentations, and reports. Attend meetings, take minutes, and follow up on action items as needed.
Travel Arrangements: Arrange domestic and international travel itineraries for the Chairman, including flights, accommodations, and transportation, ensuring all arrangements are efficient and cost-effective.
Administrative Support: Provide general administrative support to the Chairman, including drafting correspondence, preparing expense reports, and maintaining files and records.
Confidentiality: Handle sensitive information with utmost discretion and maintain confidentiality at all times, ensuring the Chairman's privacy and confidentiality are protected.
Relationship Management: Build and maintain positive relationships with key stakeholders, including board members, senior executives, clients, and partners, representing the Chairman professionally and effectively.
Special Projects: Assist the Chairman with special projects and initiatives as assigned, conducting research, compiling data, and providing logistical support as needed.
Real Estate Administrator: Prepare and review MOUs, NOCs, Form A/B/F, tenancy contracts and other legal real estate forms in line with DLD & RERA regulations.
Manage Trakheesi permits and property listings on portals such as Bayut, Property Finder, Dubizzle, and ensure media and data are accurate.
Maintain CRM/Property Database systems with up-to-date records.
Qualifications
Experience: 2–4 years as Executive Assistant; Real Estate industry preferred but not mandatory
Knowledge: Familiarity with Dubai-specific regulations (RERA, DLD, Ejari, Trakheesi).
Excellent communication, strong organizational and multitasking abilities, and attention to detail.
Technical: Proficiency with MS Office and real estate software.
