Summary:
We are seeking a highly organized, discreet, and proactive Executive Assistant to support the Group CEO. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple tasks with efficiency and professionalism. The ideal candidate will act as a gatekeeper, liaison, and trusted partner to the CEO, ensuring seamless day-to-day operations and strategic calendar management. This is a bilingual role requiring both English and French.
Key Accountabilities:
- Manage and priorities the CEO’s calendar and schedule, including scheduling internal and external meetings, appointments, and travel.
- Prepare meeting agendas, take minutes, and follow up on action items when required.
- Screen and manage incoming correspondence, calls, and emails. Coordinate responses when necessary.
- Collate and streamline correspondence, provide briefings and summaries.
- Administrate and process documentation, such as documents for review, signature or distribution.
- Draft, proofread, and format internal and external communications on behalf of the CEO.
- Coordinate travel arrangements including flights, accommodations and itineraries.
- Provide real-time support during travel to troubleshoot issues and change plans.
- Coordinate closely with internal and external service providers on travel and logistics arrangements
- Translate documents and correspondence. Provide live translation when required
- Maintain confidential files, records, and documents.
- Coordinate events, board meetings, and company-wide engagements as required.
- Produce accurate reports and presentations when required, coordinating with department leaders to collate group-wide data.
- Conduct research and compile data when needed.
- Act as a brand ambassador for Reach Food Group at all times
Key Competencies
- Proven experience in an Executive or Personal Assistant role, preferably supporting C-suite executives.
- Fluent in written and spoken English and French.
- Ability to work flexible hours according to the needs of the business
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- High level of discretion and integrity with confidential information.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools
- Ability to work under pressure and adapt to changing priorities.
