We are seeking a highly organized and professional Executive Secretary to provide comprehensive administrative support to senior management. Responsibilities include managing calendars, coordinating meetings and travel, preparing reports, handling confidential correspondence, and liaising with internal and external stakeholders. The ideal candidate will have excellent communication skills, strong attention to detail, and proficiency in MS Office. Prior experience in an executive support role is preferred.
Key Responsibilities:
- Manage and maintain executives’ schedules, appointments, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Handle incoming and outgoing emails, phone calls, and inquiries on behalf of executives.
- Organize and coordinate meetings, conferences, and events, including agenda preparation and minute-taking.
- Maintain filing systems (electronic and paper-based) for easy retrieval of information.
- Conduct research and compile data to support reports, presentations, and proposals.
- Act as a point of contact between executives and internal/external stakeholders.
- Ensure confidentiality of sensitive information and exercise discretion in all matters.
- Prepare expense reports, monitor budgets, and assist in financial documentation.
- Perform general office duties to support executives and ensure smooth workflow.
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Screen and prioritize phone calls, emails, and correspondence, responding on behalf of the executive when appropriate.
- Liaise with departments to ensure smooth communication and implementation of executive instructions.
- Build and maintain professional relationships with key partners, clients, and government or industry representatives.
