Position Overview
The Reception Manager plays a dual role: overseeing the front desk team to ensure a welcoming and efficient patient experience, and managing overall administrative functions to support smooth clinical operations.
Key ResponsibilitiesReception Management
- Supervise and support reception/front desk staff
- Oversee patient scheduling, check-ins, check-outs, and intake procedures
- Ensure front desk team delivers exceptional customer service
- Train and evaluate reception staff; manage schedules and coverage
- Handle escalated patient concerns and feedback
- Maintain compliance with DHA and Dubai Municipality policies and protocols
- Manage day-to-day administrative operations of the medical office
- Ensure office supplies, medical inventory, and equipment are stocked and functional
- Coordinate with billing, clinical, and administrative teams for efficient workflow
- Assist with insurance verification processes and monitor billing accuracy
- Maintain facility licenses, staff credentials, and vendor relationships
- Monitor and improve operational processes for efficiency and patient satisfaction
- Prepare reports and assist leadership with budgeting and compliance
- Ensure adherence to health and safety regulations
Qualifications
- Attested bachelor's degree/ diploma preferred
- 2 to 3+ years in a healthcare administrative or front office role, with supervisory experience
- Knowledge of medical terminology, billing procedures, and insurance processes
- Knowledgeable in DHA policies and procedure
- Knowledgeable in Dubai Municipality policies and protocols
- Strong organizational, leadership, and communication skills
- Ability to multi-task and manage staff in a fast-paced clinical setting
