- Act as the first point of contact for patients and visitors, ensuring a warm and welcoming atmosphere.
- Assist patients with check-in/check-out procedures, including the collection of personal information and payment processing.
- Schedule and manage patient appointments efficiently using the clinic's scheduling software.
- Confirm and remind patients of upcoming appointments via phone, email, or text.
- Deliver exceptional customer service to enhance patient experience.
- Answer, screen, and forward incoming phone calls in a polite and professional manner.
- Handle patient inquiries and provide accurate information about services, procedures, and policies.
- Process patient payments, issue receipts, and manage the daily cash drawer.
- Coordinate with the billing department for insurance claims and patient billing inquiries.
- Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
- Ensure all patient records are updated accurately and promptly.
- Build positive relationships with patients to ensure a high level of patient satisfaction.
- Handle patient concerns and complaints calmly and effectively, escalating issues when necessary.
- Perform general administrative tasks such as data entry, filing, and photocopying.
- Prepare and maintain daily, weekly, and monthly reports as required by the clinic management.
- Utilize MS Office applications (Word, Excel, PowerPoint) to create documents, spreadsheets, and presentations.
- Maintain and organize electronic and paper records efficiently.
- Work closely with dental staff and management to ensure smooth clinic operations.
- Assist in the preparation and organization of dental materials and equipment as needed.
