1. Office Management
- Oversee daily operations of the office
- Maintain cleanliness and organization of workspace
- Manage office supplies and equipment
2. Documentation & Record-Keeping
- Maintain client files, booking records, and travel documents (e.g., visas, itineraries)
- Keep records of supplier contracts and agreements
- Handle filing (physical and digital)
3. Client Support & Communication
- Answer phones, emails, and in-person inquiries
- Provide information about travel services and packages
- Assist with client bookings, changes, and cancellations
4. Coordination with Travel Suppliers
- Liaise with airlines, hotels, tour operators, and other partners
- Confirm reservations and negotiate rates
- Ensure smooth coordination of travel arrangements
5. Billing & Financial Admin
- Issue invoices and receipts
- Manage petty cash and track expenses
- Assist in payroll and account reconciliation
6. Scheduling & Calendar Management
- Maintain calendars for tours, bookings, and appointments
- Schedule meetings with clients and suppliers
7. Data Entry & CRM Management
- Input and update customer data in CRM systems
- Track inquiries, follow-ups, and sales pipeline
8. Reporting
- Prepare daily, weekly, or monthly reports for management
- Analyze booking trends and client feedback
9. Compliance & Regulations
- Ensure all bookings and travel documents comply with local and international travel regulations
- Stay updated on visa requirements, COVID/travel advisories, etc.
10. Support for Travel Consultants/Agents
- Provide administrative support to travel agents (e.g., paperwork, confirmations)
- Help prepare travel itineraries and documentation
