Office Administrator - PRO Services

This position requires a thorough understanding of UAE government procedures, strong communication skills, and the ability to maintain effective relationships with government authorities. The role is responsible for managing office admin jobs and all government-related administrative processes, ensuring full compliance with local laws and regulations. Key responsibilities include visa processing, labor permit management, and securing the necessary licenses / permits including CICPA and approvals to support seamless business operations. The ideal candidate will possess strong organizational skills, keen attention to detail, and the ability to address and resolve issues in a dynamic, fast-paced environment.
JOB RESPONSIBILITIES:
- Process new work permits, renewals, and amendments as required.
- Coordinate the issuance of all visa categories.
- Ensure timely renewal of employee visas to maintain legal compliance.
- Arrange CICPA passes for employees and equipment; manage renewals, cancellations, and amendments as requested.
- Coordinate medical examinations and Tasheel /Tawjeeh training for visa processing.
- Maintain accurate and up-to-date records for employees, including visa, passport, Emirates ID, and legal documentation.
- Renew trade licenses and Chamber of Commerce memberships; ensure updates with relevant ministries and departments.
- Oversee vehicle-related tasks, including inspection, registration renewal, transfer in coordination with the Traffic Department online / offline.
- Liaise with government bodies such as Licensing Authorities, Chamber of Commerce, Traffic Department, Police, Civil Defense, Department of Health, Department of Transport, Ministry of Energy and Infrastructure, and Ministry of Defense to ensure regulatory compliance.
- Advise management on legal and regulatory requirements based on updates from relevant authorities.
- Real-estate knowledge in Property Leasing, Preparing Tenancy Contracts, Tawtheeq registration and Cheque collection.
- Perform any additional duties assigned by management such as attending telephone calls, arranging material quotations and preparing Purchase Orders (LPO) etc....
- Candidate must be available to join immediately without notice period.
