Roles & Responsibilities
- Manage daily office operations to ensure smooth workflow, including scheduling, coordinating meetings, and organizing events.
- Serve as the first point of contact for visitors and clients, offering professional customer service and maintaining a welcoming environment.
- Maintain and organize filing systems (electronic and physical), ensuring documents are accurate, confidential, and easily retrievable.
- Handle incoming calls and emails professionally; direct inquiries appropriately.
- Prepare reports, presentations, correspondence, purchase requisitions, invoices, LPOs, and payment tracking documents.
- Support bookkeeping with invoice management, receipts, and basic accounting tasks.
- Coordinate office supplies and inventory management to maintain adequate stock without overstocking.
- Assist with travel arrangements and itinerary planning for staff, ensuring cost-efficiency.
- Organize company events, meetings, and training sessions, managing logistics and catering for seamless execution.
- Support recruitment processes: post job openings, screen resumes, schedule interviews, and maintain employee/laborer records.
- Coordinate communication between site offices, head office, suppliers, consultants, and clients.
- Ensure timely submission of necessary documents, drawings, and materials to regulatory authorities; maintain compliance with administrative and legal requirements.
- Maintain and verify daily workforce reports and timesheets, ensuring accuracy and alignment with payroll.
- Operate office equipment (photocopiers, scanners, telephones).
- Promote health, safety, and quality standards across office and site environments.
- Perform any additional duties assigned by management.
Desired Candidate Profile
- Education: Bachelor’s degree or equivalent from a recognized university preferred.
- Experience: Minimum 3-5 years in an administrative or office management role, preferably within construction, engineering, or project-based environments in the Gulf region.
- Industry Knowledge: Familiarity with construction technical services and project site administration is an advantage.
- Skills:
- Strong organizational and time management skills.
- Excellent communication skills in English; Arabic is a plus.
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with office software and basic IT troubleshooting.
- Ability to handle confidential documents with discretion.
- Proactive attitude with attention to detail and problem-solving skills.
- Ability to work independently and collaboratively within teams.
- Availability: Candidates who can join immediately are preferred.
- Nationality: Open to all nationalities; UAE residency is preferred.
Additional Requirements
- Strong knowledge of UAE labor laws and occupational safety standards relevant to construction workplaces.
- Ability to multitask and work effectively under pressure.
- Experience in vendor negotiation and supplier management.
- Capability to maintain accurate records for employees and laborers, ensuring compliance with company and regulatory requirements.

Pay: AED3,000.00 - AED5,000.00 per month
