About the Role:
We are seeking a highly organised, proactive, and resourceful Personal Assistant to support the Managing Director of a fast-growing energy brokerage operating in the UK and UAE. This is a dynamic role that requires exceptional communication skills, attention to detail, and the ability to juggle multiple priorities in a fast-paced environment.
You will act as the right-hand person to the MD, managing day-to-day administrative tasks, overseeing schedules, coordinating projects, and ensuring smooth business operations across both regions.
Key Responsibilities:Executive Support
- Manage the MD’s calendar, appointments, and travel arrangements across UK, UAE, and U.S. time zones.
- Organise and prepare for meetings, including agendas, presentations, and follow-up actions.
- Handle confidential information with discretion.
Business Coordination
- Liaise with clients, partners, and suppliers in the UK, UAE, and USA.
- Support recruitment processes, including posting job ads, screening applicants, and scheduling interviews.
- Assist in onboarding new hires, ensuring they have necessary tools and access.
Operational Support
- Monitor key business metrics and prepare reports for the MD.
- Coordinate between sales teams, lead generators, and closing agents to ensure workflow efficiency.
- Oversee the collection, organisation, and verification of customer documents (e.g., energy bills).
Communication & Follow-Up
- Manage the MD’s email inbox, prioritising urgent matters.
- Draft professional correspondence, proposals, and internal memos.
- Follow up with team members to ensure deadlines are met.
Project Management
- Support in launching and managing campaigns in targeted U.S. states and industries.
- Maintain lead tracking and CRM data accuracy.
- Assist with vendor management for lead generation, telemarketing, and CRM systems.
Administrative Duties
- Prepare expense reports and manage petty cash.
- Keep organised digital and physical filing systems.
- Manage office supplies and coordinate with service providers.
Skills & Requirements:
- Proven experience as a Personal Assistant, Executive Assistant, or similar role.
- Excellent organisational skills with the ability to prioritise effectively.
- Strong written and verbal communication skills in English (Arabic a plus).
- Tech-savvy with proficiency in Microsoft Office, Google Workspace, and CRM systems (HubSpot, Zoho, or similar).
- Ability to work across multiple time zones and adapt to changing priorities.
- High level of professionalism, discretion, and initiative.
Preferred Experience:
- Previous exposure to sales-driven environments, ideally in energy, telecoms, or finance.
- Experience in managing remote or international teams.
- Understanding of U.S. deregulated energy markets (training can be provided).
