The Personal Assistant will serve as a key administrative partner to the CEO & Director, ensuring the smooth functioning of day-to-day operations, optimizing scheduling and communications, and helping manage a wide range of personal, clinical, and business tasks. Key Responsibilities
- Manage complex calendars, including scheduling internal/external meetings, and appointments.
- Serve as gatekeeper and first point of contact for internal staff, clients, and external partners.
- Assist in drafting and proofreading emails, reports, and presentations.
- Maintain confidentiality and handle sensitive information with discretion.
- Coordinate logistics for meetings, events, clinical consultations, and other public engagements.
- Track and organize personal and professional to-do lists, deadlines, and follow-ups.
- Liaise with clinical Director and other clinical staff to ensure timely updates and task delegation.
- Maintain digital and physical filing systems for easy document access and compliance.
Qualifications
- Previous experience as a Personal Assistant, Executive Assistant, or similar role
- Exceptional organizational and time-management skills
- Strong verbal and written communication skills
- Ability to multitask, prioritize, and adapt in a dynamic healthcare setting
- Proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools
- Discretion and integrity in handling confidential information
- Passion for or experience in the healthcare, therapy, or nonprofit sectors is a plus
