We are currently looking for a responsible Personal Assistant Hindi / Tagalog, Russian or Turkish speaking to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to manager’s working life and communication.
Duties/Responsibilities:
- Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention
- Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
- Booking and arranging travel, transport and accommodation
- Organizing events and conferences
- Reminding the manager/executive of important tasks and deadlines
- Typing, compiling and preparing reports, presentations and correspondence
- Managing databases and filing systems
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers and clients
- Collating and filing expenses
- Miscellaneous tasks to support their manager, which will vary according to the sector and to the manager’s remit.
Skills/Requirements:
- Discretion and trustworthiness: you will often be party of confidential information
- Excellent oral and written communication skills
- Fluency in English, Russian & Turkish is mandatory, Arabic or other languages is an advantage.
- Organizational skills and the ability to multitask
- The ability to be proactive and take the initiative
- Flexibility and adaptability
- Tact and diplomacy
- A knowledge of standard software packages and the ability to learn company-specific software if required.
Education and Experience:
- Graduate of bachelor’s degree
- At least 3 - 5 years’ experience working as a Personal Assistant
