Job Purpose
The Procurement Administrator supports the procurement team in executing day-to-day purchasing, vendor coordination, and contract administration activities. The role is critical in maintaining accurate procurement records, liaising with Arabic-speaking suppliers and stakeholders, and ensuring timely and compliant acquisition of goods and services required for PSI’s operations across the UAE and the MENA region.
Key ResponsibilitiesProcurement Support
- Process purchase requisitions and prepare purchase orders in compliance with internal policies.
- Source quotations from vendors, compare offers, and support evaluation processes.
- Coordinate with internal departments to confirm technical specifications and delivery requirements.
Vendor Liaison & Arabic Communication
- Communicate directly with Arabic-speaking suppliers for quotations, clarifications, and negotiations.
- Translate procurement-related documents (e.g., contracts, quotations, invoices) between Arabic and English.
- Build and maintain strong relationships with local and regional vendors.
Contract & Documentation Management
- Support the administration of contracts and agreements, ensuring accurate records and timely renewals.
- Maintain procurement documentation, records, and reports for audit and compliance purposes.
- Ensure supplier documents (licenses, tax certificates, bank details) are valid and up to date.
Logistics & Coordination
- Track delivery timelines and follow up with suppliers and logistics providers to ensure on-time delivery.
- Coordinate with the finance team to resolve invoice or payment issues with vendors.
- Assist in customs clearance or import documentation, if applicable.
Requirements, Education & Qualifications
- Diploma or Bachelor’s degree in Business Administration, Supply Chain, or a related field.
Experience
- 2–4 years of experience in procurement, preferably within the UAE or GCC region.
- Experience in administrative support roles in procurement or supply chain departments.
Skills
- Fluency in Arabic and English (spoken and written) is essential.
- Knowledge of UAE procurement procedures and vendor landscape.
- Strong organizational and time-management skills.
- Proficiency in MS Office (especially Excel); experience with ERP systems is a plus.

Pay: AED5,000.00 - AED7,000.00 per month
