Job Description – Project CoordinatorPosition Overview
We are seeking a proactive and detail-oriented Project Coordinator to support the planning, execution, and delivery of commercial interior fit-out projects. The role involves coordinating between clients, consultants, suppliers, subcontractors, and the internal team to ensure smooth project flow, timely execution, and compliance with quality and safety standards.
Key ResponsibilitiesProject Coordination & Documentation
- Assist the Project Manager in planning, scheduling, and monitoring project activities.
- Prepare and maintain project documentation, including project schedules, reports, and meeting minutes.
- Coordinate approvals for drawings, materials, and method statements.
- Track project progress, highlight delays, and escalate issues when necessary.
Site & Execution Support
- Liaise with site engineers, subcontractors, and suppliers to ensure timely execution of works.
- Monitor site activities for compliance with approved drawings and quality standards.
- Follow up on snag lists and ensure rectification within timelines.
- Support in ensuring adherence to HSE and company safety policies on site.
Procurement & Vendor Coordination
- Assist in preparing material requisitions and coordinate with procurement for timely delivery.
- Follow up with suppliers/vendors for order confirmations, deliveries, and documentation.
- Maintain records of material submittals, approvals, and usage on site.
Client & Stakeholder Communication
- Act as a communication bridge between clients, consultants, and internal teams.
- Assist in preparing client reports, presentations, and progress updates.
- Coordinate client meetings, record MOM (Minutes of Meeting), and track commitments.
Key Skills & Competencies
- Strong organizational and multitasking abilities.
- Knowledge of interior fit-out works, drawings, and site processes.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office, AutoCAD (basic), and project management tools (MS Project/Zoho Projects preferred).
- Ability to work under pressure and meet strict deadlines.
Qualifications & Experience
- Bachelor’s degree in Civil Engineering, Architecture, Interior Design, or related field.
- 3–5 years’ experience in project coordination within the UAE (interior fit-out industry preferred).
- Strong understanding of project execution cycles, procurement, and client handling.
Reporting To
- Reports directly to the Project Manager / General Manager.
- Works closely with Procurement, Design, and Site Teams.
