Job Summary:
The Project Document Controller is responsible for managing and maintaining project documentation, ensuring accuracy, accessibility, and compliance with company standards. This role involves coordinating document flow, tracking revisions, and supporting project teams in maintaining organized records.
Key Responsibilities:
- Document Management: Maintain and organize project documents, ensuring proper filing, version control, and accessibility.
- Compliance & Standards: Ensure all documents meet company and regulatory standards.
- Tracking & Updates: Monitor document revisions, approvals, and distribution.
- Coordination: Work closely with project teams, engineers, and stakeholders to ensure timely document submission and retrieval.
- Archiving & Retrieval: Maintain document archives and ensure easy retrieval when needed.
- Software Utilization: Use document management systems (DMS) to store and track project files.
- Reporting: Generate reports on document status, approvals, and compliance.
- Confidentiality: Ensure sensitive project information is securely stored and shared only with authorized personnel.
Qualifications & Skills:
- Education: Diploma or Bachelor's degree in Business Administration, Engineering, or a related field.
- Experience: 2+ years of experience in document control within a project-based environment.
- Technical Skills: Proficiency in document management software (e.g., Aconex, SharePoint, or similar).
- Attention to Detail: Strong organizational skills with a keen eye for accuracy.
- Communication: Excellent verbal and written communication skills.
- Problem-Solving: Ability to troubleshoot document-related issues efficiently.
Additional Requirements:
- Knowledge of industry-specific document control standards.
- Ability to work under tight deadlines and manage multiple tasks.
- Familiarity with construction, engineering, or infrastructure projects is a plus.
