Position Overview:
The Receptionist at the Head Office serves as the first point of contact for visitors, clients, and staff. This role is responsible for managing the front desk, ensuring smooth day-to-day operations, and providing administrative support to the head office team.
Key Responsibilities:
✅ Greet and welcome visitors in a professional and courteous manner.
✅ Manage the front desk by answering incoming calls, screening, and directing them appropriately.
✅ Handle all incoming and outgoing mail, packages, and deliveries.
✅ Maintain a neat and organized reception area, creating a positive first impression.
✅ Provide accurate information regarding the organization’s policies, services, and procedures.
✅ Assist with scheduling meetings, booking conference rooms, and coordinating visitor appointments.
✅ Manage visitor logs and issue visitor badges as necessary.
✅ Assist with basic administrative tasks such as data entry, filing, photocopying, and scanning.
✅ Support the administration team in organizing events, meetings, and other office activities.
✅ Maintain office supplies inventory and coordinate replenishment as needed.
✅ Adhere to company policies and ensure the confidentiality of sensitive information.
Qualifications and Skills:
✅ High school diploma or equivalent; a diploma or degree in Office Administration or related field is a plus.
✅ Previous experience as a receptionist or in an administrative support role preferred.
✅ Excellent verbal and written communication skills.
✅ Professional appearance and a positive, helpful attitude.
✅ Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
✅ Strong organizational and multitasking abilities.
✅ Ability to handle confidential information with discretion.
✅ Flexibility to adapt to a dynamic office environment.
