Job Description

We are seeking a highly organized and efficient Senior Document Controller to join our dynamic team in Dubai, United Arab Emirates. In this critical role, you will be responsible for overseeing the management, control, and maintenance of all project documentation while ensuring compliance with company standards and industry regulations.

• Establish and maintain a comprehensive document control system for all project-related documents
• Develop and implement document control procedures and workflows to enhance efficiency and accuracy
• Oversee the receipt, logging, and distribution of incoming and outgoing documents in a timely manner
• Ensure proper filing, storage, and easy retrieval of all documents
• Maintain and update document registers, databases, and archives with meticulous attention to detail
• Collaborate with project teams to implement and monitor document version control and revision management
• Conduct regular audits to ensure compliance with document control procedures and industry standards
• Prepare and distribute reports, presentations, and other project-related materials as needed
• Lead and mentor junior document controllers, providing guidance and support
• Implement and maintain electronic document management systems (EDMS)
• Stay updated on industry best practices and emerging technologies in document control
• Potentially travel to project sites within the UAE as required

Qualifications

• Bachelor's degree in Business Administration, Information Management, or a related field
• Minimum of 8 years of experience in document control or a similar role, preferably in construction, engineering, or related industries
• Proven expertise in using EDMS systems (e.g., UNIFER) and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
• Strong knowledge of document control processes, best practices, and industry standards
• Excellent organizational and time management skills with a keen attention to detail
• Demonstrated ability to work efficiently in a fast-paced environment and manage multiple priorities
• Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse teams
• Experience with database management and data entry
• In-depth familiarity with filing and archiving systems
• Document Control certification (e.g., IDCA) preferred
• Comprehensive knowledge of relevant industry regulations and standards
• Experience in leading and mentoring junior document controllers
• Familiarity with international document control standards
• Ability to work independently and as part of a team
• Willingness to travel to project sites within the UAE when necessary
