Job Purpose
The Technical Administrator plays a vital support role in ensuring the smooth functioning of technical operations within Jointly Owned Properties (JOPs). This position involves maintaining detailed documentation, tracking statutory compliance, supporting fit-out monitoring, and providing first-line customer service coordination for technical complaints. The Technical Administrator ensures accurate and timely updates in systems like Anacity, Mollak, and internal reporting platforms in compliance with Law No. 6 of 2019, and RERA regulations.
Key Responsibilities
1. Technical Documentation & Reporting
- Maintain accurate and updated records of PPM schedules, vendor reports, asset registers, and site inspection logs.
- Assist in compiling technical summaries and presenting findings for OC and management meetings.
- Track ongoing technical issues, document status updates, and maintain monthly operations reports.
2. Statutory & Regulatory Compliance
- Monitor the renewal and compliance status of all statutory requirements as per Law and company policy
- Ensure all compliance records are updated and accessible for RERA inspections and audits.
- Track expiry dates for AMC contracts, vendor licenses, and insurances and alert relevant departments in advance.
3. Fit-Out Coordination & Monitoring
- Review initial request and documents
- Maintain and monitor the fit-out request tracker and ensure all approvals and submissions are in line with the community’s fit-out guidelines.
- Coordinate with Building Management and Engineering teams to schedule inspections and provide access for fit-out works.
- Ensure all required documents such as method statements, NOCs, and deposit receipts are recorded and updated.
- Conduct random site inspection to ensure the fit-out is carried out as per approval
- Conduct inspection after completion to confirm that the work is completed as per the approval and sign off on the deposit release form
4. Customer Service & Complaint Coordination
- Act as a support liaison for customer service tickets relating to maintenance or technical issues.
- Monitor and escalate unresolved issues through Anacity or internal reporting systems.
- Ensure complaints are acknowledged, tracked, and closed as per SLA timelines in coordination with the facilities team.
5. Vendor Coordination & Site inspections
- Maintain a database of approved vendors and service providers with up-to-date trade licenses and insurance.
- Carry out regular site inspections to ensure all maintenance requirements are met
- Create inspection reports and share with the site incharge
- Regular inspect and monitor completion of work
- Support procurement processes by preparing technical documentation and collecting quotes.
6. Administrative Assistance & Reporting
- Prepare and submit weekly and monthly reports summarizing technical & statutory performance and issue logs.
- Assist site in-charge in their technical requirements
- Attend OC meetings
Qualifications & Experience
- Diploma in Engineering, Facility Management.
- Minimum 2 years of experience in a technical support or admin coordination role within a JOP, FM, or real estate company.
- Knowledge of Dubai regulatory frameworks including RERA, Dubai Municipality, and Civil Defense is preferred.
- Experience with CAFM tools such as Anacity, Mollak, or similar systems is an advantage.
