We are a dynamic and fast-growing company specializing in display solutions, signage, exhibitions, and graphic production. To support our continued growth, we are looking for a proactive and highly motivated Accounts & Admin Assistant to join our team.
Key Responsibilities:A. Accounts
- Manage Accounts Payable by accurately recording and updating all expense transactions.
- Handle Accounts Receivable, including preparing and reconciling customer invoices.
- Perform VAT filings and regular bank reconciliations.
- Record financial transactions in accounting software (QuickBooks or similar).
- Maintain both digital and physical financial records with accuracy and confidentiality.
- Review and verify spreadsheets for accuracy.
- Finalize and close monthly and quarterly financial reports promptly.
- Coordinate with auditors for quarterly and annual audits, preparing necessary documentation.
- Monitor financial health and provide data for informed decision-making.
- Offer day-to-day support to ensure smooth financial and administrative operations.
B. Administration
- Manage general office administrative tasks and daily operations.
- Procure and manage office supplies and maintain inventory.
- Ensure timely renewal of all company documents, including trade licenses, tenancy contracts, vehicle registrations, and insurance.
- Maintain and update filing systems, records, and databases efficiently.
- Oversee the company’s vehicle fleet, including maintenance, insurance, and registration renewals.
- Prepare internal and external correspondence, reports, and presentations.
- Support HR, Finance, and other departments with routine admin duties.
- Handle full visa processing procedures and government-related paperwork.
- Keep logs and reminders for contract and document expirations.
- Manage Salik, traffic fines, and other RTA-related tasks and systems.
- Assist in payroll processing and preparation of reports.
Qualifications & Skills:
- Bachelor’s or Master’s Degree / Equivalent Diploma in Accounting or Finance.
- Minimum 2-3 years of relevant experience in the UAE or home country (UAE experience preferred).
- Proficiency in MS Office, especially Excel and Word.
- Hands-on experience with QuickBooks or similar accounting software.
- Solid understanding of bookkeeping and UAE financial regulations.
- High level of integrity and ability to handle confidential information.
- Excellent verbal and written communication skills.
- Strong time management and organizational skills.
- Detail-oriented and capable of working under pressure to meet deadlines.
