Job Purpose:
To support the Administration Team Leader in the efficient administration of government-funded learning programs, ensuring compliance and accuracy using internal and external systems. The role is critical to always maintaining operational effectiveness and upholding data integrity.
Key Responsibilities:
· Verify and monitor start documentation using audit checklists.
· Prepare New Learner/Employer Starter Packs across all contracts.
· Maintain accurate, up-to-date records (both paper-based and digital).
· Submit funding paperwork to Prime Contractor.
· Track learners and outstanding compliance items.
· Update MIS and E-portfolio systems as required.
· Liaise with frontline teams regarding enrolment documentation.
· Respond to and resolve Strode paperwork queries.
· Monitor e-signature workflows and chase pending approvals.
· Upload learner details to internal and third-party platforms (Equal, SharePoint, etc.).
· Manage ERNs and PLRs and ensure they are correctly logged.
· Provide support with awarding body administration.
· Assist with preparation for audits and inspections.
· Undertake regular data cleansing activities.
· Perform exam invigilation when required.
· Update weekly enrolment tracking sheets.
· Additional Duties
· Support procurement and distribution of office/IT equipment.
· Manage stationery and utilities as needed.
· Assist trainers with logistical support (printing, room bookings, etc.).
· Minute-taking during internal meetings.
· Use PICS and OneFile systems for verification or data entry.
· Generate internal reports upon request.
· Assist in managing the admin mailbox.

Qualification & Other Requirements:
Education: Bachelor’s Degree (*Required)*
Experience: Minimum 3 years in administrative roles (Required)
Location: Based in Dubai or able to reliably commute/relocate (*Required)*
Visa Status: Must hold a valid sponsor visa (*Own/Spouse or Father) (Required)*

Pay: AED4,000.00 - AED4,500.00 per month
